When discussing customer management systems with property clients and investors, they commonly mention having a PMS where they document all their guest information and have some records.

A PMS or a Property Management System keeps the property log where you can document your arrivals, in-house guests, out-of-order rooms, and other things you’ll need to input for inventory.

On the other hand, a Customer Management System or a CRM system is for sales businesses. We use the CRM to document and note any follow-ups, especially for group accommodations and corporate accounts, contract follow-ups, and anything associated with sales and marketing.

An excellent example of good use of CRM is when we have a large corporate account staying at a property and when the client departs and prefers if and when they’ll be visiting in the area in the future, we can note it on the CRM. It is something we cannot accomplish on the PMS; neither is completing follow-up tasks.

The CRM is particularly for concrete and essential information needed to grow your business effectively. It allows you to create tasks, so you know what and when to do a follow-up with a client. Aside from that, it also lets you leave notes on your assignments to see where the conversation left off and all other vital details tot ensure comprehensive work for any client.

Having no customer management system leaves you with no proactive sales team. It means that there will be no database to see tasks. There will be no reminders for when contracts are due or cut-off dates. Additionally, you will have less or no information about each company’s structure and clients or property decision-makers.

Ultimately, these information pieces are paramount to having a forceful team and could bring you to repeat business with your clients, and are readily available with the CRM system.
